ReJen Pilates Terms & Conditions
Effective Date: July 1, 2026
These Terms & Conditions apply to all memberships, packages, bookings, and services provided by ReJen Pilates on or after July 1, 2026.
1. Assumption of Risk
Participation in Pilates, Barre, Gyrotonic®, and other movement-based activities involves physical activity and carries inherent risks, including but not limited to muscle soreness, fatigue, strains, sprains, and other injuries.
By attending classes or using studio facilities, participants voluntarily assume all risks associated with participation and acknowledge that ReJen Pilates, its instructors, employees, and affiliates shall not be held liable for any injury, loss, damage, or claim arising from participation in studio activities.
2. Physical Health
Participants are responsible for ensuring that they are physically able to participate safely in classes and exercise activities.
Individuals with medical conditions, injuries, pregnancy, or other health concerns are encouraged to consult a qualified healthcare professional before participating in any exercise program and should inform their instructor of any relevant limitations.
3. Personal Responsibility
Participants are responsible for monitoring their own physical condition during class and exercising within their personal limits.
If pain, discomfort, dizziness, or unusual symptoms occur, participation should stop immediately and the instructor should be notified.
For safety reasons, participants must:
- Follow all instructor directions and equipment guidelines
- Avoid adjusting or modifying equipment without instructor approval
- Report any equipment concerns immediately
- Keep personal belongings and valuables secure at all times
ReJen Pilates is not responsible for lost, stolen, or unattended items.
4. Hygiene & Safety Guidelines
To maintain a safe, clean, and welcoming environment, participants agree to:
- Wear appropriate workout attire
- Wear grip (non-slip) socks during all sessions
- Clean equipment after use
- Maintain good personal hygiene
- Keep mobile phones on silent mode during class
- Refrain from phone calls or texting during sessions
- Respect the privacy of instructors and fellow participants
- Obtain instructor approval before taking photos or videos within the studio
For those new to Pilates, completion of an Intro Package or introductory private sessions is strongly recommended before joining group classes. Participating without foundational instruction may increase the risk of injury.
5. Age Requirement
Participants must be at least 18 years of age.
Individuals under the age of 18 may participate only with the consent of a parent or legal guardian and are subject to all studio policies and terms.
6. Booking, Cancellation, No-Show & Attendance Policy
By booking a class or session, you agree to the following policies:
- Reservations may be cancelled free of charge up to 24 hours before the scheduled start time.
- All cancellations must be made through the RJ Movement App.
- Group classes require a minimum of two participants.
- If minimum enrollment is not met, the studio may cancel the class by 9:00 PM on the day prior, and all credits will be restored.
- Late cancellations made within 24 hours of the session will result in the loss of that session credit.
- No-shows will result in the loss of one session credit and a $20 administrative fee.
- No-show fees may be automatically charged to the payment method on file.
- All classes start and end on time.
- Participants may enter up to 10 minutes after the scheduled start time.
- Arrivals after 10 minutes may be treated as a no-show.
- Late arrival does not extend class time and does not qualify for refunds or credits.
- Participants are encouraged to arrive early for check-in and preparation.
- Booking management and reservation confirmation remain the responsibility of the participant.
- Pass transfers are permitted once per pass; splitting or sharing of passes is not permitted.
All policies are applied consistently to ensure fairness for all members.
7. Package Refund, Exchange & Expiration Policy
- All passes and packages are subject to their applicable refund policy.
- Used sessions are calculated at the applicable regular or drop-in rate.
- Any approved refund will be calculated after deducting the value of sessions already used.
- Refunds may be issued to the original payment method or as studio credit at the studio’s discretion.
- No-show fees and late-cancelled sessions are non-refundable.
- Refund processing may require up to 14 business days.
- Medical refund requests must be supported by official documentation and remain subject to approval.
- Promotional, discounted, and special-offer packages may have separate refund or extension conditions.
- Instructor substitutions or schedule changes are not valid grounds for refunds.
- All sessions must be used within the package validity period.
- Extension requests must be submitted before package expiration.
- Extension Fee: $10 per week.
- Expired sessions are forfeited and cannot be reinstated.
8. Communications
Important announcements, policy updates, booking notifications, and studio communications are provided through email and app notifications.
Participants are responsible for maintaining accurate contact information and monitoring communications from the studio.
The studio is not responsible for missed communications resulting from outdated contact information, unsubscribed email preferences, spam filtering, or failure to review notifications.
9. Privacy & Personal Information
ReJen Pilates may collect, store, and use personal information for booking, payment processing, attendance tracking, marketing communications, and operational purposes in accordance with applicable privacy laws.
10. Security & Surveillance
CCTV surveillance may operate in common areas of the studio for safety, security, and operational purposes.
By entering the studio premises, participants acknowledge and consent to security recording where applicable.
No cameras are installed in washrooms, changing rooms, or other private areas.
Recorded footage may be used for safety, security, incident investigation, dispute resolution, and operational purposes.
CCTV footage remains the property of ReJen Pilates and may only be released where required by law.
11. Weather & Emergency Closures
Classes may be cancelled due to severe weather, natural disasters, power outages, building issues, or other circumstances beyond the studio’s control.
Where applicable, affected session credits will be restored.
12. Operational Changes
ReJen Pilates reserves the right to modify class schedules, instructors, operating hours, services, and studio operations as necessary.
13. Member Conduct & Account Use
Accounts, memberships, and packages are intended for individual use only.
Accounts found to be shared, transferred, split, or used by multiple individuals may be suspended or terminated without refund.
ReJen Pilates reserves the right to refuse service, suspend participation, or terminate memberships due to threatening, abusive, harassing, disruptive, unsafe, or otherwise inappropriate behaviour.
Refunds may not be issued in such circumstances.
Policy Updates
ReJen Pilates reserves the right to update, modify, or revise these policies at any time.
The most current version will always be available on our website and through the RJ Movement App.
Continued participation in classes, services, memberships, packages, or use of studio facilities constitutes acceptance of any updated policies.
Agreement
By purchasing services, booking classes, attending sessions, or entering the studio premises, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions.
This Agreement is provided in multiple languages for reference purposes only. The English version shall be the official and legally binding version. In the event of any conflict or inconsistency, the English version shall prevail.
These Terms & Conditions shall be governed by the laws of the Province of British Columbia and the applicable laws of Canada.
